1. Introduction

Dopties (“we”, “us”, “our”) is dedicated to safeguarding your privacy and ensuring that your personal data (“Personal Data”) is handled in a safe and responsible manner. This policy (“Privacy Policy”) explains what Personal Data We collect, how We use and share it, and your rights concerning your Personal Data when you access and/or use Our platform through Our website or other future online or mobile application (“Platform").

2. Declaration of Consent

By using the Platform, You consent to the processing of Your personal information in accordance with the terms of this Policy.

You may withdraw this consent at any time by notifying Us by way of email at support@dopties.com. However, in case You withdraw your consent, We may, without prejudice to any other rights available to Us, cancel Your registration and/or subscription and We shall not be liable for any consequences arising therefrom.

By visiting the Platform and using any of its information or services, as defined in the Terms, whether or not You have registered on the Platform, You confirm that You have read and agreed to abide by the terms, conditions, representations, warranties, disclaimers, and policies outlined on the Platform, including the Terms and Privacy Policy, which are hereby incorporated by reference.

3. Information We Collect

When You access and/or use the Platform, We collect certain Personal Data necessary to facilitate pet adoption securely and effectively. In line with applicable data protection laws, You are informed before providing any data about what is collected, why it is used, and Your rights under this Privacy Policy. All Personal Data is processed solely on the basis of Your explicit and informed consent. The Personal Data We collect includes the following:

Information you provide us: Email address and password, full name, city, address, date of birth, adoption intent, rescuer role and organisation affiliation, government issued identity document, pet profile data, enquiry messages between adopter and lister and pet medical records and acceptance of Terms of Use and Privacy Policy (recorded with timestamps).

Correspondence records: Any communication You initiate with Us including but not limited to queries, complaints, or support requests shall be recorded for reference and to facilitate resolution.

Survey Information: We may occasionally invite You to participate in surveys conducted for research purposes and platform improvement purposes. Participation in any such survey is entirely voluntary.

Platform visit information: We collect information about Your visits to the Platform, which may include traffic data, location data (limited to the city You explicitly select), weblogs, operating system details, browser usage, and other communication data. This information may be used for analytics or to understand how you interact with the Platform and its features.

Payments: The Platform does not currently facilitate payments. Listing activation, enquiry creation, and adoption progression are free of charge. No payment gateway is integrated, and no payment-related data is collected or stored. Payment integration may be introduced in a later phase, following which this Privacy Policy will be updated to reflect the introduction of payment data flows before such integration is activated.

Some features and third-party integrations described in this Privacy Policy are planned for activation in a future phase. Where any such tool is not operational at the time of publication, the relevant clause will be updated and You will be notified prior to activation.

4. Information We Collect Automatically

When You access and/or use the Platform, We automatically collect certain information about Your device and usage. This information is collected only to the extent necessary for delivering, securing, and improving the Platform.

We may collect certain technical information about Your device including Your IP address, operating system and browser type. Your IP address is collected only in limited circumstances such as for authentication sensitive actions, verification document submission and security monitoring. This information constitutes statistical data about browsing actions and patterns and does not identify any individual in the course of routine use of the Platform.

We collect only the city You explicitly select from Our location registry. The Platform does not collect Your precise location or device GPS data.

We use product analytics tools to measure feature usage and improve the Platform. No advertising or cross-site tracking is performed.

Application errors are captured by an error tracking tool to help Us identify and resolve technical issues. Personal Data including Your email address, name, and identity document details, is automatically removed from error reports before transmission.

We use essential cookies required for authentication session management. Infrastructure cookies may also be set for security and bot management purposes. We do not use advertising cookies or tracking cookies. You may configure your browser settings to refuse cookies at any time. However, please note that doing so may limit Your ability to access certain parts of the Platform. If non-essential cookies are introduced through product analytics tooling, an opt-in cookie consent banner will be displayed.

5. Purpose of Collection and How We Use the Information

We collect and use Your Personal Data only for the lawful purposes and solely to facilitate the provision of pet adoption services through the Platform. Your Personal Data is used for the following purposes:

  • To create and manage Your account, authenticate Your identity, and facilitate account recovery.
  • To facilitate pet adoption including enabling You to browse listings, send enquiries, communicate with listers, progress through trial and adoption stages, and complete custody transfer.
  • To establish trust between adopters and listers through identity verification.
  • To coordinate the adoption lifecycle between adopter and lister including disclosure of contact details only after an enquiry has been mutually accepted.
  • To maintain Platform safety and integrity including moderation, account suspension, identity ban enforcement, abuse pattern detection, and dispute resolution.
  • To maintain an audit report of every lifecycle decision for accountability and dispute resolution purposes.
  • To send You operational communications, including in-app notifications for enquiry lifecycle events, verification outcomes and account and security notices.
  • To deliver transactional emails necessary for authentication flows and lifecycle events, such as enquiry acceptance confirmations and verification outcomes.

The Platform does not use Your Personal Data for the sale, rental, or commercial monetisation of Personal Data, targeted advertising, behavioural profiling; or automated personalised ranking.

6. Data Processing

Your Personal Data is processed only to the extent necessary to operate the Platform and facilitate the adoption lifecycle. All processing is carried out in accordance with the following principles:

  • Access to Personal Data is restricted at the database level, ensuring that You can only access Your own data and the limited information about a counterparty that is permitted at each stage of the adoption lifecycle.
  • All changes to lifecycle state are processed only through controlled and authorised platform functions. Direct modifications to underlying data are not permitted. Administrative database access is restricted to authorised personnel of Rusio Ventures LLP.
  • Profile and contact visibility follows a staged, purpose limited disclosure model. Public surfaces display only a lister's first name. Upon enquiry submission, the lister gains access to the adopter's full name, city and adoption intent, the adopter receives no additional lister information at this stage. Upon acceptance, both parties receive each other's details such as email which remain permanently accessible.
  • Every action taken on the Platform is recorded in an append-only audit log to support investigation and dispute resolution and platform accountability.
  • No automated decision making produces legal or similarly significant effects on You. All moderation and verification decisions are made by human administrators and moderators.

7. Sensitive Personal Data

We collect government-issued identity documents for the purpose of identity verification. Accepted documents include masked Aadhaar, PAN, Driving Licence, Voter ID and Passport.

  • Documents are uploaded through a secure, controlled proxy. Direct uploads from Your browser to storage are not permitted.
  • Documents are stored in a private encrypted Storage environment with no permanent public access.
  • Original filenames are not retained. All documents are stored under anonymised and system generated identifiers.
  • Documents may be accessed only through short lived, time limited links valid for a maximum of one hour and only by You, a platform administrator, or an authorised moderator.
  • Every instance of document access is recorded for audit and accountability purposes.

We do not collect or store Your identity document number. Financial details, including bank account number, card numbers and UPI IDs, are not collected by the Platform.

8. Data Security

We have implemented comprehensive technical and organisational safeguards to protect Your Personal Data. Our security measures include the following:

  • All data in transit is protected by industry standard encryption protocols.
  • All data at rest is encrypted by Our cloud infrastructure provider.
  • Verification documents are stored in a private encrypted storage environment with no permanent public access, accessible only through time limited secure links.
  • Access to Personal Data is restricted at the database level, ensuring that every read and write operation is limited to the minimum scope authorised for the requesting user.
  • Authentication passwords are stored securely.
  • Rate limiting and abuse detection measures are enforced for verification sensitive actions, including verification submissions.
  • Every change to lifecycle state produces an audit log entry within the same transaction. If the audit entry cannot be recorded, the entire transaction is reversed to preserve data integrity.

Maintaining the security of your information is a shared responsibility. If You are provided with, or choose, a password to access any part of the Platform, You must keep it confidential and must not share it with any third party.

Please note that while we take every reasonable measure to protect Your Personal Data, no method of transmitting data over the internet is entirely secure. We cannot guarantee the absolute security of information transmitted to or from the Platform, and any such transmission is at Your own risk.

9. Storage of Personal Data

All Personal Data is stored on cloud infrastructure hosted in India. Verification documents are stored in a private encrypted storage environment within the same region, ensuring that Your data remains within India at all times.

10. Data Retention

We retain Personal Data only for as long as necessary to fulfil the purposes outlined in this Privacy Policy or as required by applicable law. The following retention periods apply:

Verification documents: Retained for 90 days from the date of approval, following which the underlying document is securely deleted. In the case of rejected verification attempts, documents are retained for 30 days from the date of rejection, following which the same deletion process applies. In both cases, a record confirming that the verification attempt occurred is preserved separately. The automated document purge system is under development. Until it is operational, documents may be retained beyond the stated retention window. Retention may also be extended where required for an active investigation or legal proceeding.

Verification ledger entries: The record of Your verification outcome is retained for as long as Your account remains active.

Inactive user accounts: Accounts that have been inactive for 24 consecutive months are anonymised. Anonymisation is deferred if the account has any active listing, open enquiry, or in-progress adoption trial. Once all obligations are resolved, the anonymisation process proceeds. No notification is sent to counterparties upon account anonymisation. Personal Data, including Your name, email address, date of birth, and profile photo, is removed, while the account record is preserved to maintain the integrity of the adoption custody chain.

Closed enquiry records and messages: Retained for 7 years from the date of closure to support dispute resolution and platform safety investigations.

Audit log entries: Retained indefinitely as an integrity guarantee.

Adoption events and pet custody history: Retained indefinitely as part of the Platform's adoption registry.

De-Identified Data: Aggregate platform metrics, such as total active listings and total adoptions completed, are retained and do not constitute Personal Data.

11. Disclosure and Sharing of Information

With third-party service providers who assist Us in operating the Platform, including cloud infrastructure, application hosting, content delivery, transactional email, error tracking, product analytics, and workspace email services. These providers are contractually bound by data processing agreements and are permitted to process Your Personal Data only on Our instructions and for the purposes described in this Privacy Policy. If required by law, regulation, legal process, or governmental request, We may disclose Your Personal Data in order to comply with Our legal obligations or to protect the rights, property, or safety of Dopties, Our users, or others.

The Platform does not share Personal Data with payment gateways, advertising networks or data brokers.

The Platform does not, and will not, sell, rent, lease, or otherwise commercially monetise Personal Data.

The Platform does not deliver targeted advertising, perform behavioural profiling or use machine learning recommendation engines. If any such features are introduced in the future, this Privacy Policy will be updated and Your consent will be obtained prior to implementation.

In the future, We may publish aggregate, de-identified statistics about adoption outcomes for transparency and research purposes. Such aggregates will not contain Personal Data and will not be capable of being re-associated with any individual user.

12. Access to Information

We ensure that access to Your Personal Data is strictly limited to those who need it. The following parties have access to Personal Data, to the extent described below:

The User: To their own profile, enquiries, listings, and verification submissions.

Anonymous (non-logged-in) users: On public browsing surfaces, they can see the lister's first name only.

The counterparty in an adoption enquiry: Limited to data permitted by the staged disclosure model: a lister sees an adopter's full name, city, and adoption intent text once an enquiry has been opened; both parties see each other's email only once an enquiry has been mutually accepted.

Platform administrators and moderators: For moderation, verification review, dispute investigation, and incident response.

Third-party processors: As listed in Clause 11, each acting only on our instructions and bound by Data Processing Agreements.

13. Communications Features

The Platform includes communication features that allow adopters and listers to exchange messages within the scope of a specific adoption enquiry. The Platform is not a general messaging application.

All messages are stored as permanent, uneditable records and cannot be modified or deleted by users. This is a deliberate design choice to support dispute resolution and moderation investigations.

Messages are encrypted in transit and at rest by the Our cloud infrastructure provider. The Platform does not use end-to-end encryption, as We must retain the ability to access messages for moderation and dispute resolution purposes where necessary. Access to messages is restricted to the two parties in the enquiry and authorised platform administrators and moderators.

If a user blocks another user, further message exchange between the parties is disabled. The existing message thread is preserved in read-only form for evidentiary and moderation purposes.

14. Third Party Links

The Platform may link to third-party websites or services including Our social media presence such as Instagram and LinkedIn. These third-party websites operate independently and are governed by their own terms and privacy policies.

We are not responsible for the privacy practices, content, or data handling of any third-party website. When You follow a link to an external website, You leave the Dopties Platform and any information You provide to that website is governed solely by that website's own privacy policy.

All third-party data processors engaged by Us to operate under Data Processing Agreements. All employees, advisors, and contractors of Rusio Ventures LLP are bound by written confidentiality obligations. Rescue organisations onboarded to the Platform agree to Our Terms of Use, which require them to use adopter data only for the purpose of evaluating and completing the specific adoption enquiry.

15. User’s Rights

As a user of the Platform, You have the following rights in respect of Your Personal Data:

  • You may request access to the Personal Data We hold about You.
  • You may request correction of any inaccurate or incomplete Personal Data. Profile information can also be updated directly through the Platform interface.
  • You may request deletion of Your Personal Data, subject to Our retention obligations described in the Data Retention section.
  • You may request a portable copy of Your Personal Data. We will provide Your profile data, pet records, and enquiry history in a machine-readable format. Please note that audit log entries and counterparty data are not included in portability exports.
  • You may withdraw Your consent at any time, which will result in account closure and anonymisation of your Personal Data, subject to retention obligations.
  • You have the right to ask us not to process your Personal Data for marketing purposes. Note that we do not currently use Personal Data for marketing.

16. Data Minimization

We collect only the Personal Data that is necessary for the operation, safety, and accountability of the adoption lifecycle. We do not collect data beyond what is required for the purposes described in this Privacy Policy.

Where You believe that excessive or inaccurate data has been collected, You may request correction or deletion by contacting Us through the mechanism described in the User’s Rights section.

17. Age Restrictions

Our platform is intended only for individuals who are at least 18 years or older. Users under 18 are not permitted to access and/or use the platform. We rely on self-declaration during sign-up to verify age eligibility.

We do not knowingly collect personal data from children under the age of 18 without verifiable parental consent. If we become aware that we have inadvertently collected information from a person under 18 without appropriate consent, we will take immediate steps to delete such data.

Parents or guardians who become aware of a child’s access and/or use of the platform are encouraged to contact Us to initiate data deletion or address any concerns regarding children’s privacy.

18. Miscellaneous

Entire Agreement. This Privacy Policy along with the Terms of Use constitutes the entire agreement with respect to the subject matter hereof and thereof.

Severability. If any provision of this Privacy Policy is held to be illegal, invalid, or unenforceable under any present or future applicable law, and if the rights or obligations under this Privacy Policy shall not be materially and adversely affected thereby, (a) such provision shall be fully severable; (b) this Privacy Policy shall be construed and enforced as if such illegal, invalid, or unenforceable provision had never comprised a part hereof; and, (c) the remaining provisions of this Privacy Policy shall remain in full force and effect and shall not be affected by the illegal, invalid, or unenforceable provision or by its severance here from.

19. Change in Policy

We reserve the right to add, amend, delete, or modify any part of this Policy at any time, in compliance with applicable laws. Prior to the changes taking effect, we will notify you via email and/or by displaying a prominent notice on our Platform. Your continued use of the Platform after such updates will constitute your acceptance of the revised Policy.
